This Privacy Policy applies to people who interact with Kings Home Accommodation, including guests, prospective guests, people making bookings on behalf of others, corporate bookers and clients, landlords, property owners, prospective landlords or owners, and other business contacts.
It applies whether you interact with us through our website, a booking platform, a direct booking, a property-management enquiry, email, telephone, SMS, WhatsApp or another communication channel.
3. Personal Information We Collect
Depending on your relationship with us, we may collect your name, telephone number, email address, postal address, booking and stay information, property information, guest details, payment and transaction information, identification or verification information, communications with us, customer-service and maintenance information, marketing preferences, SMS consent and opt-out records, and technical information generated when you use our website or online services.
For landlords and property owners, we may also process information relating to the property, ownership or management relationship, payments, contracts and communications necessary to provide our property-management services.
4. Where We Obtain Your Information
We may receive personal information directly from you.
We may also receive information from another person making a booking on your behalf, an employer or corporate booker, accommodation or booking platforms, travel or relocation agencies, property owners, landlords, property-management platforms, payment providers, guest-verification providers and other service providers involved in providing the requested service.
Where appropriate in a business context, we may also obtain professional contact information from publicly available sources.
5. How and Why We Use Personal Information
We use personal information to respond to enquiries, provide quotations, take steps towards entering into a booking or management agreement, administer bookings, provide accommodation, manage properties, communicate with guests and property owners, process payments and deposits, verify guests where appropriate, arrange check-in and check-out, coordinate cleaning and maintenance, resolve complaints or disputes, maintain accounting and business records, prevent fraud and misuse, comply with legal obligations and operate and improve our services.
Depending on the activity, our lawful basis under UK data protection law may be that processing is necessary to perform a contract with you or take steps at your request before entering into a contract; necessary for compliance with a legal obligation; necessary for our legitimate interests or those of a third party where those interests are not overridden by your rights; or carried out with your consent.
Our legitimate interests may include operating and protecting our accommodation and property-management business, communicating with customers and property owners, maintaining records, preventing fraud, managing properties efficiently and improving our services.
Where we rely on consent, you may withdraw that consent at any time.
6. Service and Marketing Communications
We may contact you with administrative or service-related information concerning an enquiry, quotation, booking, stay, property or management relationship.
These communications may include reservation confirmations, payment or deposit information, guest-verification requests, check-in and access instructions, check-out information, maintenance updates, responses to enquiries and other information necessary to provide the service you have requested.
Service communications are kept separate from marketing communications.
Where we send direct marketing by electronic means, including SMS or email, we will do so in accordance with applicable UK data protection law and the Privacy and Electronic Communications Regulations 2003 (“PECR”).
Where consent is required for marketing, it will be requested separately and you may withdraw it at any time.
7. SMS and Text Messaging
Where you have agreed to receive SMS messages from Kings Home Accommodation, we may send messages connected with the particular enquiry, booking, stay or property-management matter for which your number was provided.
Messages may include responses to enquiries, quotation or booking information, reservation confirmations, payment or deposit reminders, guest-verification reminders, check-in and check-out information, property access information, stay updates, maintenance communications, property-management communications and customer-support messages.
Message frequency varies depending on your enquiry, booking, stay or interaction with us.
Message and data rates may apply depending on your mobile network and tariff.
You can opt out of SMS messages at any time by replying STOP. You can request assistance by replying HELP.
Where we send promotional or marketing SMS messages, we will obtain any consent required by law and by the messaging service used to send those communications.
We maintain appropriate records of SMS consent and opt-out requests.
We do not sell, rent or transfer mobile numbers or SMS consent information for third-party marketing.
Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the Text Message services.
We may therefore provide the information necessary to operate our SMS service to communications platforms, telecommunications providers, aggregators and other providers involved in transmitting or managing the messages.
8. AI-Assisted Communications
We use technology to help manage customer and property-management communications. This may include AI-assisted communication platforms such as Conduit.
These systems may process the content of messages and relevant booking, guest, property or customer information to help respond to enquiries, provide customer support, route requests and support our team in managing communications.
We do not use our AI-assisted messaging system to make solely automated decisions about individuals that produce legal effects or similarly significant effects.
9. Sharing Personal Information
Where necessary for the purposes described in this Privacy Policy, we may share relevant personal information with accommodation and booking platforms, property-management systems, payment processors, guest-verification providers, property owners or landlords, cleaning and maintenance providers, professional advisers, insurers, IT and hosting providers, communications providers, AI-assisted communication providers such as Conduit, telecommunications providers and public authorities where disclosure is required by law.
We require service providers processing personal information on our behalf to handle it appropriately and only for authorised purposes.
The restrictions relating specifically to SMS opt-in information and consent are set out in section 7 and apply regardless of the other sharing described in this section.
We do not sell personal information.
10. International Transfers
Some of the technology and service providers we use may process personal information outside the United Kingdom.
Where personal information is transferred outside the UK, we take steps to ensure that the transfer is permitted under UK data protection law. This may include relying on UK adequacy regulations or appropriate contractual safeguards such as the UK International Data Transfer Agreement or applicable UK Addendum.
You may contact us if you would like more information about safeguards applying to a particular transfer.
11. How Long We Keep Personal Information
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet our legal, accounting, tax, contractual and regulatory obligations.
Booking, contractual, payment and accounting records may normally be retained for up to six years after the relevant transaction or relationship ends, unless a longer period is required or justified.
Communication records are retained according to operational and legal requirements.
Where you opt out of marketing or SMS communications, we may retain limited suppression information so that we can continue to respect your preference.
12. Website and Cookies
Our website and associated services may use cookies or similar technologies.
Where UK law requires consent before non-essential cookies or similar technologies are used, we will request that consent.
Necessary cookies may be used where required for the operation, security or functionality of the website.
13. Your Data Protection Rights
Depending on the circumstances, UK data protection law may give you the right to request access to your personal information, request correction of inaccurate information, request deletion of information, request restriction of processing, receive certain information in a portable format, and object to certain processing.
You have an absolute right to object to the use of your personal information for direct marketing.
Where processing is based on consent, you can withdraw that consent at any time. Withdrawal does not affect processing that was lawful before consent was withdrawn.
To exercise a data protection right, contact us at info@kingshomeaccommodation.co.uk.
We may need to verify your identity before responding to a request.
14. Complaints
If you have concerns about how we use your personal information, please contact us first so that we can investigate.
